This privacy notice describes how Dorset Council’s Commercial Waste and Strategy team process the personal data supplied to access our Household Recycling Centres via a booking system.
The personal information we collect

address
vehicle registration
telephone number
email address
Reasons for collecting and using your personal information
We process personal data to:
process and confirm your booking
manage site capacity and safety
monitor usage patterns
contact you about your booking or service updates
send optional satisfaction surveys (with consent)
carry out on site visual checks of proof of address
Who we share your personal information with
In order to exercise the above activities in an efficient way, we routinely share your data with processors acting on our instructions such as W&S Waste Management Ltd and Booking Lab (our booking system provider).
On occasion we may be required to share personal information with:
Dorset Council Enforcement Officers
Law enforcement bodies
Dorset Council Trading Standards
If there are allegations of:
verbal or physical abuse occurring on site, to staff or other service users
trade or commercial waste abuse

The Data Protection Impact Assessment (DPIA) identified that, because Dorset Council will share data with more than 3 data sources or storage locations, a flow diagram is needed to clearly illustrate how information flows between all entities. This is shown both visually and in plain text below:

Bookinglab software acts as the central system:
it sends vehicle registration data to the DVLA MOT checker for verification
it sends a booking reference number to Pay 360 for payment processing, if needed
it sends information back to the ANPR camera if a booking has been made or not

How long your personal data is kept
Booking data is kept for up to 18 months to support service monitoring, operational planning, and policy development. Survey responses are retained only as long as necessary for performance analysis
