What services are being provided 

We sit within the Business Intelligence Team within Corporate Services and provide data to a full range of Dorset Council services to enable them to target their resources effectively and ensure that policy is backed by a robust evidence base. Data from the the Dorset Residents’ Survey will be used as a whole data set for statistical purposes and to deliver and benchmark our services effectively.

Services will not have your data at personal level but rather grouped together so that the organisation can understand whether residents, who are for example from a protected characteristic under the equality act, have as a group answered questions in a manner that is different to other groups. If this is the case we would then look at how we can deliver and improve our services to that protected characteristic.

What personal information we need from you

The personal information we may need from you consists of:

  • email address 
  • telephone

What special category (sensitive) data we might need

In order that we may deliver services appropriate to your needs we may also ask for the following ‘special category’ (sensitive) information about you which may include: 

  • ethnicity
  • religion
  • disability
  • gender identity
  • sexual orientation 

Information we may receive

To help us provide services appropriate to your needs we may receive personal information about you from others, but we need none in this case.

Who can use your personal information

The following organisations or departments may use the information you provide: 

Internal services. Individual cases will not be routinely shared with other services and only in exceptionally circumstances for example where additional action is identified such as a complaint that needs to be investigated.

The data from this survey is processed on and provided to us by our data processor - Information by Design (IbyD), on our behalf.

The general lawful basis for processing will be article 6(1)(e) UK GDPR – processing necessary for tasks exercised in performance of the council’s statutory functions.  Special category data (i.e. sensitive) is processed in reliance on article 9(2)(g) which permits processing for reasons of substantial public interest.  The substantial public interest is that the data will be used to improve the services we provide for the public benefit, and this meets the condition set out in paragraph 6, schedule 1 of the Data Protection Act 2018 (statutory purposes).

If this is necessary we may share personal data: 

  • internally with other services in exceptional circumstances, as noted above
  • externally with Information by Design (IbyD) who are our data processor, and collect / hold the personal data on behalf of Dorset Council for the purposes of this survey

How long will we keep your information

5 years, and then the personal data will be deleted.
